We manage outstanding medical record requests efficiently and accurately, working closely with various healthcare partners, including CIOX, Humana, Mercy Care, United Healthcare, and others. Our team ensures that records are processed and submitted according to the requirements and guidelines of each requesting entity.

Our medical records management services include the following:

• Managing Medical Record Requests: We handle outstanding requests from insurance companies, healthcare organizations, and audit entities, ensuring timely and accurate processing.
• Record Submission: For record submissions, we manually fax through the designated portal. If mailing is required, it is handled internally by the practice.
• Portal and Fax Utilization: We follow specific guidelines for submission:
• For requests under 100 pages, we use the portal via the outreach ID indicated.
• For requests under 50 pages, we utilize faxing as an option.
• Selective Record Submission: We only send the requested documents (e.g., chart notes) to ensure compliance with audit requirements and minimize unnecessary data sharing.

Our Standard Operating Procedures (SOP) and process flow are customized to match the protocols of our partner clinics. During initial training and orientation, we develop a comprehensive knowledge base and cheatsheets, which are submitted for approval to maintain accuracy and consistency throughout the medical records management process.
